Privacy notice

This notice describes information used for sales enquiries, account access, purchase-order processing and optional analytics.

Sales enquiries

Used to assess your workflow and respond.

Workspace information

Used to provide the customer’s order service.

Data requests

Coordinated with the relevant account or workspace owner.

Sales enquiries

The quote form collects your name, work email, company, order volume and any workflow details you choose to provide. We store these details to assess your request and reply. Connection information is used to limit abusive submissions.

Use the message field to explain your business requirement. It is not a document intake channel: please leave out customer purchase orders, payment details, passwords and API credentials. If sample documents are needed, the sharing arrangement should be agreed separately.

Account and order data

The service handles account names and email addresses, authentication sessions, purchase-order documents, extracted fields, reference records and workflow activity. Customer order content is processed to provide the service requested by the workspace owner.

A purchase order can contain names, work contact details and delivery information as well as commercial records. The customer should decide which documents belong in the workspace and ensure that its users are authorized to upload and review them. Source files, revisions and approvals remain connected to the order workflow.

Service providers

Infrastructure providers support the running of the service. OpenAI processes content submitted for document extraction. The processing and retention arrangements for a customer workspace are set out in its service and data-processing agreements.

When reviewing a customer implementation, consider the information sent for extraction as well as the information retained in the workspace. Provider requirements, processing locations and any applicable transfer arrangements must be reviewed for that implementation before live order processing begins.

Service measurements

PostHog also receives technical measurements of AI requests made by our servers: model, token counts, duration, outcome and billing information when the provider reports it. These measurements use no visitor cookie and contain no prompts, model responses, files, account identifiers or customer order data. They help us understand service reliability and processing usage.

Optional browser analytics rely on your consent. Withdrawing consent stops future optional tracking and clears its browser storage; it does not automatically delete events already received. Contact the privacy address below about previously collected information.

Retention and workspace requests

Retention and deletion arrangements for customer order information are agreed for the workspace. The original document, prepared order, approval and export are related records; a request should identify the workspace and the information concerned.

For an enquiry sent through the website, contact the privacy address below with the email address used and an approximate submission date. For customer workspace records, involve the workspace owner so the request can be assessed against the customer’s instructions and responsibilities.

Your choices

You can request access to, correction of, or deletion of your enquiry details. For records in a customer workspace, the workspace owner coordinates requests. We may need to verify your identity and authority before acting.

Describe the outcome you are asking for without including unnecessary sensitive information. If we need more detail to locate a record or verify the request, that can be established through follow-up.

Privacy contact

Contact us with a description of your request. Please do not include order documents, passwords or other sensitive information in the initial message.
